Healthcare IT Equipment Receiving, Storage, Staging, and Delivery

We handle the physical side of your IT equipment. From the first vendor shipment to the final sign-off, we track it, protect it, sort it, and deliver it on a schedule you control.

What does SiteReady IT Logistics do?

SiteReady IT Logistics receives the IT equipment you bought for your healthcare project. We count it, inspect it, and store it in a secure, climate-controlled space. We sort it into labeled bundles by room or department. Then we deliver everything on a set date before your go-live (the day your clinic opens). Instead of random deliveries landing on your jobsite, you get one organized handoff with a written record behind it.

Service 01

Receiving and acceptance

Receiving starts before the truck arrives. We confirm what is shipping, from which vendor, through which carrier, and how much to expect. No shipment is ever a surprise.

When packages arrive, we count them and record the date. If anything looks damaged or is missing, we flag it and tell you the same day. That leaves time to file a claim with the shipper. Equipment we cannot identify never gets mixed in with your project.

  • Approval to receive set before anything ships
  • Package counts and arrival dates recorded
  • Damage or missing items flagged at the door

Inventory and photo logging

Every item we accept gets a record: what it is, how many, which project it belongs to, what shape it is in, and where it is stored. We can also record serial numbers or asset tags if your team needs them.

When photo logging is part of your package, we photograph equipment as it arrives and as it is sorted. Months later, if a question comes up about what arrived and in what shape, the answer is in writing and in pictures.

  • Item type, quantity, project, and location recorded
  • Serial numbers and asset tags logged when needed
  • Photos of equipment and any problems, when included
Service 03

Short-term storage and staging

Your equipment waits in a secure, climate-controlled space, not in an unfinished exam room. Each project gets its own zone, kept apart from other customers, with limited access and clear labels. Staging just means getting your equipment sorted and ready to deliver.

Storage is short-term by design and matched to your project window. If construction runs long or an inspection pushes your dates, storage simply extends through a clear written process. No scrambling, no improvising.

  • Climate controlled, with limited access
  • Kept apart by customer and project
  • Labels readable without opening boxes

Room and workstation kitting

Kitting means sorting your equipment into labeled, ready-to-go bundles before delivery. We work from your approved room plan. We group equipment by clinic, room, desk, department, site, or phase. Then we double-check the counts, label each bundle, and wrap it.

Your IT team opens the Exam Room 3 bundle in Exam Room 3. No sorting tables, no hunting for the right monitor, no half-finished desks waiting on a missing box.

  • Sorted to match your approved room plan
  • Counts checked before bundles are wrapped
  • Phased deliveries kept separate
Service 05

Final-mile delivery and light placement

Delivery is a planned event, not a drop-off. We combine all your vendor shipments into one scheduled trip to your door (a consolidated delivery). We line up the truck and crew, plan the unloading order, and confirm your site is ready before we roll.

On site, equipment goes to its assigned rooms, desks, and work areas. Placement is physical only. We do not log in, set up, cable, or rack anything. The technical work stays clearly with your IT team or vendor.

  • One combined delivery on a set date
  • Truck loaded in the same order it will be unloaded
  • Items placed in rooms and at desks

Closeout documentation

The project ends with a record, not a question mark. Closeout is the final paperwork and sign-off. We collect your delivery sign-off and, when your package includes it, provide photos showing where everything landed.

Owner reps get a clean handoff record for the project file. IT directors get the green light to start setup. Operations leaders get one less open item the week the clinic opens.

  • Delivery sign-off collected
  • Photos or proof of placement when included
  • Any problems noted at delivery
Service Tiers

Standard, Enhanced, and Enterprise

The right package depends on four things. How much is shipping. How long we store it. How much sorting and paperwork you want. And how many sites or phases your project covers.

Standard

For smaller, single-delivery projects.

  • Receiving plus secure, climate-controlled storage
  • One combined, scheduled delivery
  • Unloading to one approved drop area
  • Signed delivery paperwork
Schedule a Logistics Check

Enterprise

For hands-on placement and phased or multi-site work.

  • Everything in Enhanced
  • Optional unboxing and monitor-stand mounting
  • Equipment set in place, with cables you supply plugged in
  • Basic cable tidying, plus a record that units visibly power on
  • Records only; we never touch logins, software, or network setup
Schedule a Logistics Check

Tiers are flexible ranges, not strict item counts. We recommend a package after a free 15 to 20 minute call for qualified projects.

Scope Boundaries

What we do not handle

SiteReady IT is a physical logistics service. The work below stays with your IT team, your IT support company (MSP), or an approved vendor.

Technical work

  • Software or application setup
  • User login or credential handling
  • Device imaging
  • Network setup
  • Server or network equipment setup
  • On-site vendor setup work

Installation, data, and consumer work

  • Rack builds or rack installation
  • Low-voltage cabling (network wiring)
  • Structured cabling installation
  • Handling of patient data (protected health information)
  • General household or consumer moving services

These clear lines are why project teams trust the handoff. You always know who has your equipment. Technical risk stays with qualified technical teams. And there is never confusion about who does what.

FAQ

Service questions, answered directly

You always own the equipment. We simply take care of it: we receive it, store it, sort it, and deliver it, with a written record at each step. Ownership never changes hands.
Yes. This is one of the most common reasons teams hire us. We receive and log each shipment as it arrives, no matter the vendor or carrier, and add it to your project. Then everything ships together when your site is ready.
Your equipment stays safe in climate-controlled storage, and we reschedule the delivery. If the delay adds storage time or changes the delivery plan, we put the change in writing first. No surprise costs.
No. We place equipment in the right rooms and collect your sign-off. That is where our job ends. Software setup, logins, network work, racking, and cabling stay with your IT team, MSP, or approved vendor.
We recommend a package (Standard, Enhanced, or Enterprise) and give you a written quote. Pricing depends on how much is shipping, how long we store it, and how much sorting and delivery work is involved. It starts with a free 15 to 20 minute logistics review for qualified projects with an active or expected clinic opening.
